Terms & Conditions

1. About These Terms

These Terms & Conditions apply to bookings made for short-term holiday accommodation at The Pax (“we”, “us”, “our”).

By making a booking, you confirm that you have read, understood and agreed to these Terms & Conditions.

The Pax is a private sanctuary offering peaceful short stays, with optional wellbeing experiences available as additional services.

We may update these Terms & Conditions from time to time. The version in force at the time you make your booking is the version that applies to your stay.

2. Eligibility & Booking

Guests must be aged 18 or over to make a booking.

Your booking is confirmed automatically as soon as your payment has been received in full. You will receive confirmation by email.

Stays are a minimum of 2 nights and a maximum of 7 nights.

By making a booking, you confirm that the information provided is accurate and that you agree to comply with these Terms & Conditions throughout your stay.

3. Payment

All prices are displayed in GBP (£).

All prices are inclusive of VAT where applicable.

Full payment is required at the time of booking in order to secure your stay.

The price shown at checkout is the total amount payable. We do not add a separate booking fee.

No security deposit is required.

4. Cancellation & Amendments

We understand that plans can change.

If you cancel your booking, the amount refunded on the accommodation depends on how many days remain before your check-in date:

  • 14 days or more before check-in – the accommodation charge is refunded in full.
  • 1 to 13 days before check-in – 50% of the accommodation charge is refunded.
  • On the day of check-in – the accommodation charge is not refunded.

Days are counted as whole calendar days between the date you cancel and your check-in date.

Any optional wellbeing add-ons are refunded in full whenever you cancel a booking, however close to your arrival the cancellation is made.

Processing deduction. All refunds are subject to a deduction of 2% of the amount refunded. This covers card processing costs that our payment provider keeps even when a payment is refunded, and which we cannot recover. It is not a booking fee and no such fee is added to your original payment.

Refunds are returned to the card used for the original payment and normally reach your account within 5 to 10 working days.

Requests to amend booking dates may be considered, subject to availability. We cannot guarantee that alternative dates will be available.

If The Pax needs to cancel your booking, you will receive a full refund of everything you have paid, with no deduction of any kind. The cancellation tiers and the processing deduction do not apply where we are the ones cancelling.

Because your booking is for accommodation to be provided on specific dates, the 14-day statutory cancellation (“cooling-off”) period under the Consumer Contracts Regulations 2013 does not apply. The cancellation rights set out above apply instead.

5. Check-in & Check-out

Check-in: from 3:00 PM. Check-out: by 11:00 AM.

The Pax operates self check-in. Arrival and access instructions are sent to you before your stay.

Guests are responsible for ensuring they follow the arrival instructions provided.

6. Guest Responsibilities

The maximum occupancy for The Pax is 4 guests.

By booking and staying at The Pax, guests agree to:

  • Use the property responsibly and treat the accommodation, facilities and surrounding environment with care.
  • Respect the privacy and peaceful enjoyment of the property and its surroundings.
  • Not use the property for parties, events or gatherings.
  • Not smoke or vape anywhere on the property.
  • Inform The Pax promptly of any damage, breakages or issues that occur during their stay.

Guests are responsible for any damage caused through negligence, misuse or failure to follow instructions provided.

Pets are not permitted at The Pax.

7. Use of Facilities

Guests may have access to facilities including:

  • Sauna
  • Hot tub
  • Garden areas

Instructions for the safe use of facilities will be provided.

Use of these facilities is at the guest’s own risk. Guests must follow all safety guidance provided.

Children must be supervised by an adult at all times, particularly around outdoor areas, water features and wellness facilities.

The Pax is located in a rural environment, and guests should take reasonable care when using outdoor spaces.

8. Optional Wellbeing Add-ons

Guests may choose to book additional wellbeing experiences, such as personalised healing sessions.

Add-on experiences:

  • Are optional and subject to availability.
  • May be selected while making your booking, or added to an existing booking from your dashboard.
  • Are charged in addition to the accommodation price.

Any personalised healing sessions offered by The Pax are complementary wellbeing experiences intended to support relaxation, reflection and personal exploration.

They are not medical treatment, psychological therapy or a substitute for professional healthcare.

Guests remain responsible for their own health, wellbeing and personal decisions.

Cancellation of add-ons. Add-ons are refunded in full whenever a booking is cancelled, regardless of how close the cancellation is to the scheduled appointment, subject to the 2% processing deduction described in section 4. Where appropriate, alternative dates may be offered, subject to availability and agreement. If The Pax needs to cancel an add-on experience, you will receive a full refund with no deduction, or an alternative arrangement if you prefer.

9. Liability

We aim to provide a safe, peaceful and enjoyable stay.

To the fullest extent permitted by law, The Pax is not responsible for:

  • Loss, theft or damage to guests’ personal belongings.
  • Damage caused by guests during their stay.
  • Disruptions caused by circumstances outside of our reasonable control, including but not limited to power outages, internet interruptions, extreme weather or other unforeseen events.

Nothing in these Terms limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence or liability arising from fraud.

Nothing in these Terms affects your statutory rights as a consumer, including your rights under the Consumer Rights Act 2015.

10. Privacy

Any personal information provided during the booking process will be handled in accordance with our Privacy Policy and with UK data protection law, including the UK GDPR and the Data Protection Act 2018.

11. Complaints & Concerns

We want every guest to have a positive experience.

If you have any concerns during your stay, please contact us as soon as possible so we have the opportunity to address the issue.

Any complaints after your stay should be submitted in writing, and we will respond as soon as reasonably possible.

12. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising from these Terms shall be subject to the jurisdiction of the courts of England and Wales.
